Your duties
Duties will include but not limited to
- Dealing with any escalations on file raised by clients or developers
- Breach log updates and chasing outstanding documents on files where the fee earner is no longer with the firm
- Auditing files either where a developer or client has asked us to or as part of the quarterly appraisal process to performance manage the team
- Dual signing off files for exchange, individual and company files
- Dealing with historic file requests or requests on files where the case handler is no longer with the firm, such as queries from post completion about something that is preventing registration, or queries directly from the client post completion or when they are coming to sell.
- Covering team absences where all the flexi team are already booked out to cover
- Covering other managers in the event of their absences and overseeing the teams
- Keeping the Staff DB up to date with team details, developers/sites assigned to the team
- Dealing with day to Team Technical queries and escalating those queries to RCT if they are more complex
- Full file check requests to send to postroom
- Quarterly write offs/breaches – sense check the teams comments to see which ones apply to their bonus
- Anti-fraud restriction calls
- Case handle VIP files (e.g developer purchasing a property)
- Providing cover for the New Build Admin Team Manager
- Allocate the managers shared inbox and also the tech inbox
- Deal with all the enquiries back and forth between the legal team, tech and the SSL for every new build site that we deal with.
- Provide cover as Flex Team Manager managing the flexi team rota ensuring cover is provided to the teams most in need.
Essential skills
- At least 2 years experience of being a case handler dealing with new build files
- Have previous experience of managing teams including delegation of work and performance management
- Have technical new build knowledge
- Have previous experience of investigating and solving issues on files
- Have excellent customer service skills
- Have experience of using Proclaim or similar
- Have previous experience of managing developer relationships
